Software Village offers Document Management Solution


PETALING JAYA: Software Village Sdn Bhd is all set to help its customers better manage their business documents with a new feature in its document digitisation system, Prodigi.


The software engineering company has put in an all-in-one document management solution (DMS) into Prodigi, which provides storage, versioning, metadata, security, indexing and retrieval capabilities.

Software Village chief executive officer Ganes Kumar Narayanan said that with the new addition, it can now offer a complete document digitisation solution to its clients. He said the solution now makes amending and approving documents easier because users do not have to go through the hassle of pushing sheets of paper from one desk to the next. The solution also helps companies adhere to a standardised workflow, which is critical for any ISO certified business, he said.

Claudine Lau, a product consultant with the company and a certified auditor, said the solution also helps to shrink the margin for error when dealing with important documents.


"There is a high possibility of things going wrong when businesses handle their documents the conventional way. This solution can help improve checks and balances," she said.


The DMS feature in Prodigi allows users to determine the workflow for each document, to ensure the right people in the company view it before it moves further down the process. The documents can also be shared, ammended and approved electronically.


Can be tweaked

Ganes said the solution can be modified to suit the needs of small and medium businesses (SMBs), or larger entities like corporations and government departments. The only difference is in the pricing.

And if an SMB wants to tighten its purse strings, it can lease the solution for a monthly fee. "We also offer hosting options for SMBs that want to store their digitalised documents," he said.


Software Village will guide its users on how to best use the solution. "This will also help raise awareness among SMBs on adopting information and communications technology," said Ganes.

He is optimistic about SMBs adopting Prodigi, especially those going for ISO certification or are already ISO certified.
